ORGANIZATION:  Founded in 1959, the Roswell Symphony Orchestra’s (RSO) mission is to provide the people of Roswell and Southeast New Mexico with the best of orchestral literature by presenting an annual concert season and music education programs for children and young adults.

POSITION:  Reporting to the Board of Directors through the Board President and partnering with the Concert Operations Manager and the Music Director, the Executive Director supports Roswell Symphony Orchestra’s artistic vision and cultural goals.  The Executive Director will monitor and manage the organization’s financial health as well as oversee patron services at all concerts and special events.

This position requires exceptional drive, organization, and time-management skills, and the ability to oversee the day-to-day operations of the RSO.

Reports to:  Board of Directors through the Board President and Executive Committee

Works with: Concert Operations Manager, Music Director

KEY RESPONSIBILITIES:

The Executive Director’s duties and responsibilities include, but are not limited to, the following:

Financial Manager – Manages all aspects of accounting operations, accounts payable, accounts receivable, and payroll.

  • Bookkeeping Functions in Quickbooks
    • Prepare payroll for office staff and orchestra personnel.
    • Take deposits to the bank and process all receipts of monies.
    • Reconcile bank statements.
  • Prepare and file monthly, quarterly, and annual tax documents and reports.
  • Prepare and submit for approval annual operating budgets. Monitor and authorize expenditures following the approved budget; prepare updated projections based on actual income and expense activity.
  • Ensure that grants are spent according to grant guidelines and that all reporting requirements are met.

Fundraising, Development, and Outreach

  • Communicate effectively with the Roswell Symphony Orchestra’s constituencies: volunteer groups, other arts organizations, public agencies, government agencies, and the general public to achieve the public service objectives of the Roswell Symphony Orchestra.
  • Assist Board and President in fund-raising activities, including sustaining fund drive, corporate sponsorships, special events, and identification and cultivation of donors and volunteers.
  • Prepare and submit grant applications and reports to foundations, corporations, and government agencies.
  • Ensure all contributions and other support are acknowledged as required by law and otherwise appropriate; maintain accurate and complete records of financial contributions and other substantial support.
  • With the Concert Operations Manager and Educational Committee – plan, execute and support educational outreach programs to meet grant requirements.
  • Maintain donor database (DonorPerfect)

Concert Production

  • Season and Single Ticket Sales
    • Annual creation of the concert season on Agile (ticketing system)
    • Tracking and executing daily sales and deposits
    • Sales of tickets through the Agile system in the office and over the phone, as well as selling/supervising the sales of tickets the night of the event
    • Follow-up via phone call or email with prior year season ticket holders to encourage renewal of their tickets.
    • Blocking and printing comp tickets for Send-A-Senior, Donors and musicians.
  • Facilitate/manage patron-facing activities associated with concert events including but not limited to: ticket sales, merchandise, patron experience, and ushers, ensuring a hospitable, smooth, and efficient operation.

Board of Directors

  • Report regularly to the President of the Board
  • Attend all meetings of the Board and Executive Committee; prepare and present reports for all Board and Executive Committee meetings and other committee meetings as required.

Marketing and Promotion

  • In collaboration with the Concert Operations Manager:
    • Develop and implement a marketing plan for subscription campaigns and individual performances, using appropriate advertising and publicity to achieve maximum season and single ticket sales.
    • Maintain relationships with media contacts; generate feature stories about the orchestra in print and broadcast media.
    • Reach out to program advertisers for ad renewals; solicit new advertisers.

Administrative

  • Open, sort and process incoming mail.
  • Coordinate ongoing fundraisers such as cookbook sales, Send-a-Senior, and the Symphony of Snacks and Cakes for Cadets programs.
  • Order office supplies, including but not limited to: stationary, envelopes, labels, printer paper, printer ink, etc.
  • Handle correspondence, including patron suggestions and complaints.
  • Maintain documents according to legal requirements and/or Board policies and procedures.
  • Maintain adequate insurance to protect the orchestra’s assets/property.

PREFERRED QUALIFICATIONS:

  • Experience with Quickbooks
  • Experience in non-profit fundraising/grant writing
  • Ability to work independently
  • Demonstrated effectiveness in promoting and marketing organizations
  • Knowledge of the Microsoft Office Suite

COMPENSATION:

This is a part-time position.  Hours are Monday – Thursday, 9:00 AM – 3:00 PM (24 hours per week) and concert weekends.  The Monday after a concert is a paid day off.  Two weeks of paid vacation per year plus the last two weeks of the year the office is closed with pay.
